Before getting started
What is podiatry practice management software?
It is the system where a podiatry practice runs its day: appointment scheduling, each patient's podiatric clinical record, online booking, appointment reminders, payment tracking and business metrics. It replaces the mix of diary, spreadsheet and payment notebook most practices start with.
Is podiatry software the same as a podiatry EHR or a practice management system?
In everyday use the three names overlap, but each has a different centre of gravity. A podiatry EHR is built around the clinical record: assessment, foot chart, treatment notes, consent forms. A practice management system is built around the business: schedule, payments, invoicing, reports. Podiatry software usually means both in one place. The older word program tends to signal something lighter — a single-purpose tool for the history, the foot chart or the diary alone, or a desktop system with no cloud and no integrations. Ignore the label and look at what the product does: whether the record is structured for the foot, whether the schedule and reminders genuinely cut no-shows, whether each role only sees what it should, and whether you can export your data whenever you want.
What does podiatry software include?
Four blocks. Clinically: a podiatric record with foot and ankle history, past conditions, medication and comorbidities such as diabetes; assessment templates for nail care, orthotics and biomechanics; a foot chart and images to mark lesions, callus and ulcers and compare progress between sessions; signed consent forms; and progress notes for following chronic patients. For schedule and patients: a calendar per practitioner with appointment states, waiting list and rescheduling; reminders by WhatsApp, email or SMS; and a booking link so patients can book online. Administratively: payments, session packages, reports by practitioner and by period, local invoicing rules and, in some products, stock control. And in analytics: schedule occupancy, revenue, new versus returning patients and cancellation rate. No product covers all four equally. Is it for chiropodists and foot-care professionals too, or only podiatrists?
All of them. The clinical record structure, treatments and reports are built around foot care, so it fits a podiatrist, a chiropodist or a clinical foot-care professional equally, working solo or inside a clinic.
Can I keep clinical records and images from each session?
Yes. Each patient has a podiatric clinical record with history, assessment, treatments applied and images attached to the session they were taken in, so progress reads in chronological order. Reports print with your own branding.
Can my patients book online?
Yes. You share your booking link and the patient picks from the real openings in your schedule, seeing your clinic's branding. The appointment lands directly in the right practitioner's calendar.
How do WhatsApp appointment reminders work?
Podoraa sends the reminder before the appointment and the patient confirms, cancels or asks to reschedule from that same message; the reply updates your calendar without you touching anything. We don't charge per message: your sending volume depends on the tier Meta assigns to your WhatsApp Business account.
Is it safe to store my patients' clinical data?
Data travels encrypted, each user only reaches the patients of the podiatrists assigned to them — and reception cannot open clinical sessions or evolution notes: the server refuses, not just the screen — and sensitive actions are written to an audit log. There is a retention policy, and your practice's data is yours and exportable. The security page has the detail.
How much does podiatry practice management software cost?
With Podoraa, from $25 a month per practitioner (ESSENTIAL) up to $160 a month per clinic (CLINIC PRO), in US dollars and with no lock-in. There is no charge per patient, per appointment or per message sent, and receptionists do not take up a licence: they are free and unlimited on every plan. When you compare prices, the figure that matters is not the entry fee but what the plan costs with the practitioners and the volume your practice actually has.
What should I look for when choosing podiatry software?
Four things, in this order: that the clinical record is designed for the foot rather than being a generic medical form; that the schedule and reminders genuinely cut no-shows; that each role only sees what it should, because you are storing health data; and that you can take your data with you the day you decide to leave. If a product fails on the last one, the other three matter less than they seem. To put that into practice, start from your own situation: solo or clinic, one site or several, and whether you see a lot of diabetic foot or wound care, where the foot chart and the photographs carry the weight. Try the demo counting clicks — how many to open a record, write a note or take a payment — and check what is billed separately: reception users, messages sent, patients or storage. Before you sign, look at the trial period, the lock-in and the cost of migrating your data. What works best is shortlisting two or three and running one of them in parallel for a week or two with real patients.
How do I move what I keep in a spreadsheet, on paper or in my phone diary?
Without migrating everything at once. You load your hours, your services and your logo, and you are booking the same day; each patient is created the first time you treat them, with what you already know about them. After a few weeks of normal practice the part you actually use is in there, and you keep consulting the old records where they are until you no longer need them.
Is it legal to keep my patients clinical records in the cloud?
Generally yes, and it is the norm: regulations do not require the data to live in your practice, they require it to be protected and traceable. Podoraa encrypts data in transit, limits by role who reaches clinical information, records sensitive actions in an audit log, applies a retention policy and lets you export everything. That said, you remain the controller of your patients data: check what your country rules require on consent, retention periods and informing the patient.
Does it work if I practise alone, with no reception, or if I visit patients at home?
Yes. A solo practitioner works on the ESSENTIAL plan and keeps schedule, patients and clinical records with nobody else on the account; reminders and online booking cover the work a receptionist would do. And since it runs in the browser on your phone or tablet, on home visits you record the session and the payment on the spot, without going back to the practice to write it up.

How long does it take to have it running?
An afternoon. You load your opening hours, your services with their prices and your logo, and you can start booking; patients are added as you see them, with no need to migrate everything at once. There is no install and no technical setup: if you can use WhatsApp and a diary, you can use Podoraa.
What plans are there and how do they differ?
Four, all in USD. ESSENTIAL ($25/month per practitioner) covers the daily run: scheduling, patients, clinical records, payments and reminders. ESSENTIAL PRO ($40) adds sales and profitability analytics, advanced metrics and advanced clinical tools. CLINIC ($100/month per clinic) includes 5 podiatrists, shared front desk and priority support. CLINIC PRO ($160) includes 8 podiatrists plus everything in PRO. You can move up a plan as you grow.
What does it cost to add people to my team?
Receptionists are free and unlimited on every plan. Clinic plans include 5 podiatrists (8 on CLINIC PRO) and each extra practitioner costs $10/month; when you add or remove one, the subscription adjusts itself and you see it on the next invoice.
How many patients can I register?
As many as you need: there is no cap on patients, appointments or clinical sessions on any plan. What changes from one plan to another is how many practitioners work in the account and which analytics you get, not the size of your practice.
Does it work if I have more than one office or branch?
A clinic account manages one clinic — its address, its team and its branding — and inside it as many practitioners as you need, each with their own calendar. If you run several branches, write to us before subscribing and we will look at how to set it up for your case.
What does each role see? Can a receptionist open clinical records?
They cannot open clinical sessions or evolution notes, and it is not that the screen hides them: the server refuses those requests. They work with the calendar, the patient's record — where they do see history and alerts, which they need to schedule and charge properly — messages and checkout for the podiatrists assigned to them. A podiatrist sees their patients and sessions; the clinic administrator sees the team view and billing. And one clinic's data never crosses into another's: each practice only ever sees its own.
What happens if a patient cancels or wants to change their appointment?
The patient replies from the reminder itself. If they cancel, the slot is freed in the calendar straight away and you get the notice; if they ask to reschedule, the request reaches you so you can offer the new slot. And if they cancelled by mistake and the slot is still free, they can confirm that same appointment again.
Can I keep track of payments and what is still outstanding?
Yes. When you close the session, the charge passes to the front desk with its amount and stays pending until it is marked as paid, so you always see what has been collected and what has not. At the end of the day you get the close with what came in, and each patient keeps their own payment history.
Can I see how much I bill each month and which treatments pay off best?
Yes, on the PRO plans. You get the period's sales compared against the previous one, the breakdown by service and by practitioner, schedule occupancy, and profitability, where you set your monthly target and your costs to see what is actually left.
Can I print or export my reports?
Clinical reports and consent forms come out print-ready with your branding, and from the print dialog you can save them as PDF. A patient's full record exports to a portable file, the schedule to .ics and the audit log to CSV. Analytics are consulted inside the platform; if you need a specific figure in a spreadsheet, write to us.
Can I turn on two-step verification?
Yes, from Settings → Security. You set it up with an authenticator app (Google Authenticator, Authy or similar) that generates a six-digit code, and when you enable it you get single-use backup codes. Keep them somewhere other than your phone: they are how you get back in if you lose it.
I lost the phone with my second factor, or my password. How do I get back in?
For a password, the "Forgot your password?" link on the login screen emails you a reset link. For the second factor, sign in with one of your backup codes; if you don't have those either, email soporte@podoraa.com from the account's address and the Podoraa team will reset the second factor after verifying your identity.
What happens if I lose my computer or my phone?
Your information is not on the device: it lives in your account, so you sign in from another one and everything is there. The session on the lost device expires by itself, because access is renewed every 15 minutes and the full session expires after 7 days. Even so, change your password from another device and keep two-step verification on; if you need to cut off access immediately, write to soporte@podoraa.com.
How do I change plan, update my card or cancel?
All of it from Settings → Billing, which opens the Stripe payment portal. There you change the card, download your invoices and cancel whenever you want; there is no lock-in and no need to email us to do it.
Do I need a WhatsApp Business account for reminders?
You can start with WhatsApp Web, with nothing to register, or connect Meta's official API when you want reminders to go out on their own and at higher volume. Podoraa doesn't charge per message or impose its own cap: your sending volume is set by the tier Meta assigns to your WhatsApp Business account.
Can I send campaigns or promotions over WhatsApp?
Yes: you put the campaign together and send it to the group of patients you choose, for example those you have not seen in months. Automatic sending requires Meta's official API to be connected. Bear in mind that promotional messages are governed by Meta's WhatsApp policies and by each patient's consent, so use them with care and only with those who agreed to receive them.
Can I take my data with me if I stop using Podoraa?
Yes. Each patient exports to a portable file with their record and history, and the schedule exports as .ics to open in another calendar. Your practice's clinical data is yours; it is kept according to the retention policy and deleted when that policy allows.
What do I need to install, and which languages is it in?
Nothing: it runs in the browser, on phone or tablet too, and updates itself. The interface is in Spanish, English, Portuguese and French, and you can switch at any time from the language selector.
